How to use this template
Document each vehicle with year, make, model, and plate number. This prevents disputes about which vehicles are included in the agreement.
List exactly what is included in each service visit (exterior wash, interior vacuum, window cleaning, tire dressing, etc.) and what is NOT included. Anything not listed is a chargeable add-on.
Agree on a price-per-vehicle for the full contract term. Include a clause for price adjustment at renewal to protect against rising chemical and fuel costs.
Fleet clients pay on net terms — typically Net 15 or Net 30. Define the invoice date, due date, and late fee to avoid payment disputes.

Most fleet contracts cover a standard exterior + interior clean per visit. High-touch services like paint correction, ceramic coating, and waxing are typically priced separately as one-time services. Keep the recurring contract simple.
Weekly or bi-weekly is standard for commercial vehicles that are used daily (delivery vans, service trucks). Monthly is common for vehicles that see less use. Match frequency to how dirty the vehicles get — overcleaning is wasteful, undercleaning makes the fleet look unprofessional.
